Creating and Editing Bids

A new bid for a customer can be created onthe Bids page under Jobs -> Bids in the top left navigation panel.

To create a new bid, click the Create New button in the top right portion of the page.

To view or edit an existing bid, simply click the bid number in the bid list.

When creating a new bid, it is automatically assigned the next sequential number from the last created bid number.

Basic Bid Information

This section contains the identifying information about a bid that is used when printing a bid or associating it to a job. When working with bids, each one has to be tied to a specific customer, but they can be created for any combination of play, district and/or job type. If a bid for a customer is not specific to a particular play, district and/or job type, you can leverage the Any option from these fields, which gives you the ability to use one bid for multiple jobs if needed.

Basic Bid Information


Bid Tags are useful for situtations when you want to add a word or phrase to identify a bid or group of bids quickly. These words and phrases can then be searched by on the Bid Search page to find all bids that match.

Tag bids that have pricing at an introductory rate with Introductory Rate.

Tag bids that have 2016 pricing with 2016 Pricing.

Tag bids that include a new type of MWD tool with the tool name.

Billing Items

The billing items is a list of the individual things, split up into either Primary or Seconary, that you would want to track on the job’s field ticket and bill the customer. Items that fall under Primary are printed in their own section on the bid and if their rate type is per day, they show up in the Daily Items section when creating a daily field ticket for a job. Secondary items also printed in their own section on a bid and can be added to a field ticket via a drop down menu.

Billing Items

To add a new billing item to a bid, choose the Billing Item Type you want to add from the drop down list at the bottom of the Billing Items seciton.

After selecting the item, the Default Rate and any customer or play rate overrides that have been set for the specific customer and play that were entered under the bid’s Basic Information section will be displayed.

If the billing item type you want to add isn’t listed, you can manually type into the drop down this new item and then click Add new item. This will bring up a new billing item type form where you can specifiy the Qty Type, Rate, Accounting Code and list out any items (seperated by a semi-colon “;”) that are included if it is a bundled package.

To edit an existing billing item on a bid, click on the green pencil icon on the right side of item. From here you can change the Qty Type, Rate, Accounting Code or bundled items (seperated by a semi-colon “;”).

Billing Item Modifications

Any billing item additions and modifications will only affect the current bid you are working on and these updates will not be available on any other bid or change any existing bids that already have this billing item.

Billing Item Rates

To handle different scenarios, a billing item rate can be either a numeric amount such as 950 or a text rate such as “Market Rate”, “Replacement Cost” or “TBD”. When setting a rate, if the value is numeric (meaning a number with only a period if needed for decimal places) then that value will be added to the field ticket’s unit and total cost. If the value isn’t numeric, the billing item will show up on the field ticket report but its rate with not be added to the Unit Cost and Total Cost fields.

Custom Content Sections

The custom content sections for a bid include the Message To Customer, Rate Package, Health & Safety and Terms and Conditions. When creating a new bid, each of these sections will automatically pull their content from the templates that were entered under the System Configuration, but you can modify the content as needed for this particular bid. If the current bid you are working on was copied from a different bid, you can click the Reset to Default button at the top of each section to automatically replace the existing content with the content from the templates.

The Internal Notes section can be used for anything you may want to take note of about this bid and will not be included on the printed bid.

Content that is entered into any of these sections is also searchable via the Bid Search.

Custom Content Modifications

Any modifications made to the custom content sections will only affect the current bid you are working on and these updates will not be available on any other bid or change any existing bids.

Bid Attachments

Files can be attached help to a bid by clicking on the paperclick button in the top right of the page to add any additional pictures or documents. Any attachements that have been added will not be included when printing out the bid and will have to be manually printed and added.

When creating a new bid, you will not be able to add an attachment until you have saved the bid for the first time and the bid has a bid number.
